JOB DESCRIPTION

Position:  Finance Officer

Reports to:   Administrative Manager, Chairperson, Secretary General

Team Members:   Administrative Manager, Finance Consultant

Supervises:   Project Coordinator

KEY AREAS OF RESPONSIBILITY

1.To implement day to day finance operations of run the Accounts Department

2.To assist the Administrative Manager develop appropriate financial systems and implement them effectively

3.To prepare budgets and financial reports as necessary and submitted on time.

4.To assist the Administrative Manager to prepare necessary documents for financial audit.

SPECIFIC JOB RESPONSIBILITIES

To implement day to day finance operations of run the Accounts Department

Process all advances for travel payments both by cheque and cash as per financial policies and procedures

Provide floats for travel expenses as per approved requisition

Handle all bank transactions of income and expenditure

Process approval procedures and manage all bank transactions

Process salary /wages/ consultancy fees as per agreement ad requirement.

Maintain up to date financial records in an efficient and easily retrievable form

Make  payments for office rentals and facilities and payments of relevant taxes

Manage petty cash expenses for the office

Make reimbursement to staff within the given limitations

To assist the Administrative Manager develop appropriate financial systems and implement them effectively

Assist the Administrative Manager to regularly review the financial policies and procedures and suggest improvements as may be necessary.

To assist the Administrative Manager prepare budgets and financial reports as necessary and submitted on time.

Assist the managers and coordinators to prepare their unit budgets.

Prepare annual budgets for project or other budgets as may be necessary

Prepare budget analysis sheet on quarterly basis

Prepare monthly payroll and salary disbursement to staff

Prepare cash reconciliation on a  monthly basis

to prepare monthly accounts statements breakdown by project/donor and as per project expenditures

To assist the Administrative Manager to prepare necessary documents for financial audit.
